JOB PURPOSE:
The Sales Order Management Specialist for VTS will support the revenue growth, operational excellence and customer service experience for the VTS business as the primary internal/external interface to coordinate and execute sales orders, shipments, onboard and troubleshoot of day-to-day operations.
The Sales Order Management Specialist handles basic and complex inquiries from key accounts and internal cross-functional areas and supports the resolution, execution and compliance of customer specific service standards, terms, policies and procedures.
PRIMARY RESPONSIBILITIES:
  • Ensures accuracy of sales order input by TSS (Technical Sales Specialist) and CS reps into systems such as SAP and ensures that orders are processed according to customer requirements.
  • Supports the implementation of Kentucky DC orders including guidance and supervision of daily orders and shipments according to customer requirements.
  • Reviews back order reports and determines actions required for resolution and internal/external communication.
  • Investigates and solves problems escalated via customer, 3rd party vendors and Technical Sales Specialist or inputs coming from internal teams such as IT, Finance, Customer Care or members of the KYDC.
  • Contributes to development and implementation of process improvements in areas such as sales order receipt and shipping.
  • Coordinates the process for new product implementation (e.g., SAP, EDI, Finance).
  • Maintains comprehensive understanding of customer order flow and cadence to ensure timely shipment of products that meets or exceeds customer requirements.
  • Timely reports issues and concerns to management to ensure highest customer service
  • Partners with all cross-functional groups to deliver the highest quality customer experience
  • Performs additional tasks as required to support VTS functions
QUALIFICATION REQUIREMENTS:
  • Bachelor’s Degree or Equivalent work experience
  • Minimum 3 years related experience in sales order management or similar support/functions.
  • Networking experience preferred.
  • Knowledge of SAP and High Jump.
  • High degree of customer orientation and customer service attitude with a process focus
  • Excellent service skills such as politeness, confidence, tact, patience and diplomacy
  • Proven ability to mitigate difficult customer situations, while working in a fast-paced environment, with high flexibility and adaptability to changing priorities
  • Good communication (verbal and written),
  • Demonstrated leadership, motivational and problem-solving skills
  • Strong working knowledge of MS Office suite (Excel, PowerPoint).
